Minutes of the Meeting of Hellesdon Events Committee
Held on Tuesday 24th April 2023, 4.00 pm in the Council Chamber

Welcome
The Chair welcomed the members present along with Jack Jenkins the Master of Ceremonies for the 24th
June 2023.

1. Apologies and acceptance for absence
No apologies received.

2. Declaration of Interest and Dispensations
No dispensations or declarations were made.

3. To receive approval of the minutes of the committee meeting held on Tuesday 28th March 2023.
Minutes were circulated and AGREED by those present at the meeting held.

4. Public Participation (as permitted by Standing Order 3.d & 5.k. xiii)
No member of the public attended the meeting.

5. Easter Trail
The easter trail proved to be quite popular with approximately 60 - 70 participants. We will run the event
again in 2024.

6. Summer Fayre – Saturday 24th June 2023
• The Clerk confirmed that the tennis courts have been blocked out by National Tennis for Welly
Wanging, it has also been agreed that National Tennis will be able to use the tennis courts for potential
taster sessions between 1.30 pm and 2.30 pm with 15 minutes either side for set up.
• Pan Thai have now confirmed they will be attendance.
• Cllr Douglass will speak to Jonathan Emsell as he has a list of vendors he may be able to share with us.
• We have confirmed 2 children’s rides and a games trailer, John and Patricia Green have advised that
the games trailer is 30 metres long with a number of fairground games.
• They have asked if their equipment can be brought to site on the 23rd and left overnight. This query
has been raised with our insurance company regarding the risks. There should be none as all gates are
locked at night.

HPC Events Committee Minutes 28th March 2023
• We currently don’t have a bouncy castle booked, Cllr Douglass has suggested Jezza King, NES
Entertainment. Senior Admin Officer to make contact with Bouncy Castle vendors for availability.
• We have approached Hellesdon History, on the 24th June they are hosting a talk in the library and can
incorporate this into the Summer Fayre.
• Contact has been made with Gateway Vineyard Church on several occasions by both email and phone.
The Senior Admin officer has been unable to establish whether or not they prepared to run craft
activities in the Community Centre. If the Gateway Vineyard are not interested, Cllr Douglass has
suggested David Lloyd at ASDA.
• An advert will be placed in the next Just Hellesdon, this will include all vendors confirmed so far.
• The Facilities Manager has confirmed to Cllr Douglass and Senior Admin officer that there will be at
least two grounds staff working on the day as well as the scheduled caretakers.
• Cllr Gurney has raised concerns about heavy lorries coming into the park as there is a soak away
drainage crate straight in front of the gate. Senior Admin officer to discuss further with the Facilities
Manager to establish the weight restrictions.
• Some debate was had as to whether or not the fairground rides should be situated in the top right hand
corner of the arena with access via Woodview Road. It was agreed that this would be the best
placement due to the concerns regarding the soak away crate.
• Jack Jenkins is currently working on the playlist for the Summer Fayre.
• Sarah Smith has suggested David Foley, Go-Outdoors, she will make contact with him to see if the
Chicken Nugget truck is available.
• The Clerk made some suggestions, Squiler and Squidge and Gringo Nacho’s Factory, Senior Admin
officer to follow up. If anyone has any further suggestions, please make Senior Admin officer aware.
• Cllr Forder queried whether anything has been planned for Welly Wanging, ie distances etc, this has
not yet been worked on.

7. Exchange of Information
No matters raised.

8. To confirm the date, time and venue of the next meeting
Tuesday 23rd May 2023 @4pm.
